This Privacy Policy explains what personal information Okami Group (trading as Snow Okami) gathers and how that information is used. Okami Group is committed to the responsible collection and handling of personal information in accordance with Japan's Act on the Protection of Personal Information (APPI) and its related guidelines issued by the Personal Information Protection Commission (PPC).

Types of personal information include:

  • Personal information: Information relating to a living individual that can identify a specific individual, such as name, date of birth, address, phone number, email address, passport details, or payment information.

  • Special care-required personal information: Personal information concerning an individual's race, creed, social status, medical history, criminal record, or other information requiring particular care, as defined under the APPI. For Okami Group, this may include medical conditions, allergies, or injuries relevant to your safety while riding.

1. Information we collect

Okami Group only collects information by lawful and fair means, and in a way that is not intrusive. We collect personal information as necessary to plan, deliver and support your powder tour, including but not limited to:

  • name, date of birth, gender, nationality, and passport or ID details (where required for accommodation, lift passes, or insurance);

  • contact details — address, phone number, email address;

  • emergency contact details;

  • skiing/snowboarding ability level and riding history, disclosed as part of your booking (used to match you to the right group and terrain);

  • medical conditions, allergies, dietary requirements, or injuries relevant to your safety, comfort, and guide planning, disclosed via our Medical Declaration completed closer to your tour date;

  • payment and billing details (processed via Stripe, our third-party payment provider);

  • travel insurance details;

  • booking history, preferences, and correspondence with us; and

  • photographs or video footage taken during your tour, where you have consented via our Media Waiver or appear incidentally in group content.

The information we collect depends on the products and services you book with us. Where we collect special care-required personal information (such as medical conditions), we will seek your consent before doing so, in accordance with the APPI.

You do not have to provide us with all of the information requested. However, if you choose not to provide certain information — such as medical details relevant to safety — this may affect our ability to plan a suitable itinerary for you or, in some cases, our ability to provide our services to you at all. We will let you know if this is the case.

2. How we collect your information

Your personal information is usually collected directly from you. Okami Group collects personal information directly from you when you:

  • enquire about or book a tour, add-on, or private booking through our website or by email;

  • complete our Booking Conditions, Liability Waiver and Safety Acknowledgment, Medical Declaration, or Media Waiver (including those hosted via third-party applications);

  • communicate with us by email, phone, or messaging apps;

  • make a payment for our services via Stripe;

  • take part in a tour, including photography or filming during the week;

  • contact us with general enquiries; or

  • subscribe to our mailing list.

In some cases, we may collect information about you from a third party — for example, from a travel agent, group organiser making a booking on your behalf, or a payment processor confirming a transaction. Where personal information is provided to us by someone other than you, we will, where appropriate, let you know that we hold this information and how it will be used.

3. How we use your information

Okami Group uses your personal information to deliver our core service — planning and running your Hokkaido powder tour — and to meet our legal and contractual obligations. We use your information for the primary purpose for which it was collected, for a related purpose you would reasonably expect, as required by law, or with your consent.

It is necessary for Okami Group to collect and use this information in order to:

  • process bookings, payments, and confirmations;

  • arrange transfers, accommodation, lift passes, onsen access, and restaurant reservations on your behalf;

  • match you with an appropriate guide, group, and terrain based on your ability level;

  • plan for your safety, including communicating relevant medical information to your guides;

  • communicate with you before, during, and after your tour;

  • send you marketing communications about future tours, where you have agreed to receive these; and

  • meet record-keeping, tax, and other legal obligations in Japan.

Third parties

We may share your personal information with third parties where necessary for the purposes set out above, including but not limited to:

  • restaurants and accommodation providers we book on your behalf;

  • payment processors, for handling deposits and payments;

  • IT and software providers used to manage bookings and communications;

  • marketing and analytics platforms used to operate our website, advertising, and mailing list;

  • professional advisers, such as accountants, for tax and legal purposes; and

  • government or regulatory bodies, where required by Japanese law.

These third-party providers are expected to keep your personal information confidential and to handle it in a manner consistent with this Privacy Policy. Some of these providers operate servers located outside Japan, which means your personal information may be transferred to and stored in other countries. Where we transfer personal information overseas, we take reasonable steps — consistent with the requirements of the APPI — to ensure it continues to be protected, including relying on providers that maintain recognised data protection standards, and obtaining your consent where required.

4. How we store and protect your information

Okami Group takes reasonable and appropriate measures to protect your personal information from misuse, loss, unauthorised access, and disclosure.

Personal information is primarily stored electronically using secure, reputable cloud services. Some of the ways we protect your information include:

  • limiting access to personal information to staff and guides who need it to deliver your tour;

  • using account security measures such as strong passwords and multi-factor authentication;

  • using secure, encrypted connections for our website and booking forms;

  • using reputable third-party payment processors so that we do not directly store full payment card details; and

  • entering into confidentiality expectations with contractors and guides.

We will not keep your personal information for longer than necessary. Generally, we retain booking and correspondence records for the duration of your relationship with us and for a reasonable period afterwards to meet tax, accounting, and insurance record-keeping obligations under Japanese law. Special care-required personal information, such as medical details, is retained only as long as needed for the season for which it was provided, unless you ask us to retain it for a future booking.

5. Your rights and access to your information

Okami Group takes reasonable steps to ensure the personal information we hold about you is accurate, complete, and up to date. We rely on you to provide accurate information and to let us know if your details change.

Under the APPI, you have the right to request:

  • disclosure of the personal information we hold about you;

  • correction, addition, or deletion of that information if it is inaccurate;

  • suspension of use or deletion of your information where it has been collected or used improperly, or is no longer needed; and

  • suspension of provision of your information to third parties in certain circumstances.

If you wish to make such a request, please contact us using the details in section 8 below. We will respond within a reasonable time and in accordance with the requirements of the APPI. We may need to verify your identity before processing your request.

6. Cookies, analytics, and advertising

Our website records certain information about your visit for functionality, statistical, security, and administration purposes, including your IP address and approximate location, the date and time of your visit, the pages you viewed and links you clicked, and the type of device and browser you used.

We use cookies and similar technologies (such as pixels and tags) on our website. A cookie is a small text file placed on your device by your browser; it does not harm your device and does not store your passwords or payment details. We use them for three purposes:

  • Essential cookies — required for the website and booking forms to function.

  • Analytics cookies — to understand how visitors find and use our site so we can improve it. We use Google Analytics 4 (GA4), provided by Google.

  • Advertising and measurement cookies — to measure the performance of our advertising and to show relevant ads on third-party platforms. We use the Meta (Facebook) Pixel, provided by Meta Platforms, and similar tools.

These analytics and advertising providers (including Google and Meta) operate servers outside Japan and may process your information in other countries, including for their own purposes as independent controllers under their respective privacy policies. This means your information may be transferred overseas; where this occurs we handle it consistently with the cross-border transfer provisions described in section 3.

Where required, we will ask for your consent before setting non-essential (analytics and advertising) cookies, and you can withdraw your consent at any time through our cookie settings. You can also change your browser settings to block or delete cookies, though this may affect how some parts of our website function.
